Our maintenance contract flips that model. You pay a fixed annual rate per refrigeration system, and we handle everything that comes up on our four scheduled visits.

For a convenience store with 8 refrigeration systems โ€” beer cave, two condensing units, walk-in freezer, ice machine, and three reach-in circuits โ€” that's $760/month for complete coverage on all four service visits. Most single emergency calls cost more than a month of contract coverage.

You also get priority dispatch. Contract clients go to the top of the dispatch list. When your beer cave goes down at noon on a Friday, you're not waiting behind three businesses we've never met.

Contract Transparency

Why Compressors and Coils Are Excluded โ€” And Why That's Fair

Compressor replacements and coil replacements are capital equipment events โ€” not maintenance repairs. A compressor on a commercial walk-in cooler costs $600โ€“$2,200 in parts alone before labor. A coil replacement on a multi-circuit beer cave can run $1,800โ€“$4,500. Including those in a $95/month contract would mean we couldn't offer the contract at all โ€” or we'd have to price it at $600/system and call it something else.

What the contract does do is prevent most compressor failures before they happen. Compressors fail for reasons: liquid slugging from a bad TXV, overheating from a dirty condenser, electrical damage from a failing capacitor, oil fouling from a leak. All of those are caught and corrected on PM visits โ€” which is why customers on maintenance contracts typically see 60โ€“80% fewer compressor failures than those calling only when something breaks.

When a compressor or coil does need replacement, contract customers get a written Option A/B/C quote โ€” immediate repair, monitored deferral, or planned upgrade โ€” with photos from the same visit. No surprise bills.

The Red/Yellow/Green Condition Report โ€” Every Visit, Every System

Every PM visit generates a written Condition Report for each system we inspect. Every finding gets a color-coded status:

  • Green โ€” System inspected. Operating within spec. No action required.
  • Yellow โ€” Component showing wear or marginal readings. Recommend monitoring or scheduling replacement before failure. Cost estimate included.
  • Red โ€” Failure imminent or already occurring. Repair required to prevent system loss. Same-visit repair whenever parts are on the truck.

Every Red or Yellow item includes a written cost estimate with Option A (immediate repair), Option B (monitored deferral with risk noted), or Option C (planned replacement) so you can make an informed decision โ€” not a pressured one.

System Count Call (15 Minutes)

Call us at 484-240-9817 or email josh@blueboxhvacr.com. Walk through your location(s) with us โ€” count the refrigeration systems: each walk-in, each condensing unit, each ice machine, each reach-in circuit. That number times $95 is your annual contract price.

Baseline Inspection Visit (Billed Separately)

Before the contract starts, we do a one-time paid baseline inspection. This documents the current condition of every system, identifies any deferred maintenance that predates the contract, and sets the starting point for your Condition Reports. Prevents disputes about pre-existing conditions.

Four Scheduled Visits Per Year

We schedule visits quarterly โ€” spring, summer, fall, and winter. Each visit covers every system on the contract, generates a full Condition Report, and handles all covered repairs on-site when parts are available on the truck.

Priority Dispatch Between Visits

If a covered system fails between scheduled visits, contract clients go to the front of the dispatch queue. The repair is covered under the contract (parts and labor) unless it's a compressor or coil replacement, which we quote separately at T&M rates.
