Tools & Downloads for Facility Managers
Everything below is free. No forms, no email walls on the PDFs — just practical tools to help you manage HVAC risk, evaluate your current contractor, and understand what a maintenance contract actually costs.
Equipment Risk Scorecard
10 questions. 2 minutes. You get a Red, Yellow, or Green rating that reflects your HVAC equipment's actual risk profile — not a sales pitch.
- Assess age, maintenance history, and recent failures
- Understand refrigerant compliance risk (R-22 phase-out)
- Get a score you can share with ownership or your board
- Personalized recommendations based on your score
Vendor Accountability Checklist
8 questions every facility manager should ask their HVAC contractor after every visit. If they can't answer all 8, you're not getting what you're paying for.
- Written condition report provided?
- Before/after photos on the invoice?
- Refrigerant readings documented?
- Red/Yellow/Green system status given?
- Repair options A, B, and C presented?
- Estimated remaining service life disclosed?
Maintenance Contract Overview
A plain-English breakdown of how Blue Box's $95/system/month contract works — and a side-by-side cost comparison to reactive T&M service that you can show ownership.
- $95/system/month — all labor + most parts covered
- 4 scheduled visits per year (quarterly)
- Priority dispatch included
- Side-by-side: contract vs. reactive cost math
- What's covered — and what's not (compressors, coils)
Informed Clients Make Better Decisions
Most HVAC contractors don't publish resources like these because transparency works against them. We publish them because our entire business model is built on it.
When a facility manager walks into a meeting with our Vendor Accountability Checklist, they leave knowing exactly what they should be getting from any contractor — us or anyone else. That's the point. If we're not delivering on all 8 criteria, we deserve to lose the account.
The Equipment Risk Scorecard exists because most HVAC failures aren't surprises — they're deferred decisions. If we can help you see a Red-rated system coming 12 months out, you can budget for it instead of scrambling for emergency funds at 2 AM on a Saturday.
FAQ
Are these resources really free with no strings attached?
Yes. The PDFs download directly — no form, no email required. The Scorecard asks for contact info at the end so we can follow up with personalized recommendations, but you can complete the questions and see your score before deciding whether to share your info.
Who is Blue Box HVACR?
We're a commercial-only HVACR contractor based in Kutztown, PA, serving a 50-mile radius including Allentown, Bethlehem, Reading, Lancaster, and the broader Lehigh Valley industrial corridor. We specialize in food processing facilities, franchise groups, and Class-A commercial buildings.
What does "commercial-only" mean?
We don't service residential homes — period. Our tools, inventory, certifications, and scheduling are built entirely around commercial and industrial systems: rooftop units, chillers, refrigeration racks, VRF systems, and process cooling equipment.
What if I want to talk to someone after using one of these tools?
Call Josh directly at 484-240-9817 or email josh@blueboxhvacr.com. You'll talk to the owner, not a dispatcher. No sales scripts.
Do you offer maintenance contracts?
Yes. Our maintenance contracts are $95 per system per month and include four quarterly visits, priority dispatch, and all labor plus most parts (contactors, capacitors, fan motors, TXVs, sensors, boards, and refrigerant). Compressor and coil replacements are quoted separately. A one-time baseline inspection is required to start a contract.
Have a Question? Talk to Josh Directly.
No call center. No dispatcher. The owner picks up.
